Booking terms & Conditions

Booking
Bookings are only accepted by fax or email. Once receiving your booking, we will send you the confirmation within 24 working hours. The requested services are guaranteed only when we receive the down payment from you.

Payment
A down payment of 30% of the total amount must be settled by cash (US$ or VND), credit card or bank transfer within 7 days since the day you receive our booking confirmation, otherwise the requested services will not be guaranteed and may result to cancellation without prior notice by Topas Ecologe. The rest payment can be made in our Hanoi office before check in time.

For payment made by credit card, we will kindly ask you to fill and sign a credit authorization form and send it back to us either by email for fax, together with a copy of your credit card and your passport’s photo page.

Other payment conditions, if any, will be sent to you upon confirmation for big group or booking at peak seasons

Cancellation
Cancellations are not accepted without confirmation by fax or e-mail by Topas Ecolodge.
Cancellation made after booking confirmation will be charged 10% of the total amount; Cancellation made 21 days prior to arrival date will be charged 30% of the total amount; Cancellation made 7 days prior to arrival date will be charged 50 % of the total amount;
Cancellation made 2 days prior to arrival date will be charged 75 % of the total amount; Cancellation made within 24 hours or no show will be charged 100 % of the total amount;

Disputes
Any disputes, actions or other matters arising should be solved through negotiation between the partners. If a solution cannot be reached a court of Law in Vietnam must determine in accordance with the laws and procedures of Vietnam.

Others
Located in a sensitive cultural and natural area, Topas Ecolodge and visiting guests must comply with the “Temporary Regulation on Management of Village Tourism Routes in Sapa District”. According to the Decision of the District People’s Committee of Sa Pa, No. 145/QD-C, dated 12/10/2004, the freedom of movement in the area might be limited without a accompany of a licensed guide.
